This policy explains what personal information MicroChilli collects, why we collect it, who we share it with, and what you can do about it. It's written to be read rather than to be impenetrable.
MicroChilli is a bookkeeping, tax and profit advisory business operating from Melbourne, Australia. In this policy, "we" and "us" mean MicroChilli, and "you" means anyone using this website or engaging our services.
What we collect
When you use this website
- Your email address, if you subscribe to The Brief or unlock the Freedom Calculator.
- Your name, if you provide it.
- The figures you enter into the Freedom Calculator, being your target take-home pay, business running costs, profit percentage and superannuation rate. These are submitted with your email so we understand the context of your enquiry. They are estimates you choose to enter and are not verified financial records.
- Usage data through Google Analytics, including pages viewed, approximate location by country, device type and how you arrived at the site.
When you become a client
- Contact and identity details, including name, email, phone, business name and ABN.
- Financial records necessary to provide bookkeeping, BAS, payroll and tax services, which may include bank data, payroll information, superannuation details and tax file numbers.
- Correspondence between us.
Tax file numbers are collected only where required to provide tax and payroll services, are used only for that purpose, and are handled in accordance with the Privacy (Tax File Number) Rule 2015.
Why we collect it
- To provide the services you have engaged us for.
- To meet our obligations as a registered BAS agent and under Australian tax law.
- To respond to your enquiries.
- To send you The Brief, if you asked for it. You can unsubscribe from any email.
- To understand how the website is used so we can improve it.
We do not sell your personal information. We do not share it for anyone else's marketing.
Who we share it with
We use third party providers to run the business. The relevant ones for this website are:
- TekMatix (LeadConnector), our client relationship and email platform, which stores contact details and email history.
- Google Analytics, for website usage data.
- Calendly, when you book a call.
- Cloudflare, which hosts this website and processes form submissions on our behalf.
For client work we also use accounting and practice software including Xero, QuickBooks Online and Karbon, and tax lodgement services through TAP.
Information sent overseas
Several of these providers store data outside Australia, including in the United States. By using this website or engaging our services you consent to that disclosure. We take reasonable steps to use reputable providers, but we cannot guarantee that overseas recipients will handle information in the same way Australian law requires.
How we hold it
Information is held electronically in the systems listed above, protected by access controls and multi-factor authentication where available. We keep records for as long as needed to provide the service and to meet our legal obligations, which for tax and financial records is generally at least five years.
No system is completely secure. If a data breach occurs that is likely to cause serious harm, we will notify you and the Office of the Australian Information Commissioner as required.
Cookies and analytics
This website uses Google Analytics, which sets cookies to distinguish visitors. We also use your browser's local storage to remember two things: whether you have already given us your email, so you are not asked twice, and whether you have dismissed the newsletter prompt. That information stays in your browser and is never sent to us.
You can block or delete cookies in your browser settings. The site will still work.
Accessing and correcting your information
You can ask us what personal information we hold about you and ask us to correct it. Email [email protected] and we will respond within a reasonable time, normally 30 days. There is no charge for making a request, although we may charge for the reasonable cost of providing extensive records.
You can ask us to delete your information, and we will unless we are required to keep it by law.
Complaints
If you think we have mishandled your personal information, tell us first at [email protected] and we will investigate and respond.
If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes
We may update this policy. The current version is always the one on this page, with the date it was last updated shown at the top.
